Kitchen Rental Agreement

What is Included in Your Rental

All appliances in the kitchen are available for use, however, if you are unfamiliar with a particular item that you’d like to use, please ask for instruction.

What is NOT Included in Your Rental

aprons, tea towels, really good knives. As laundry service is not provided, please bring your own aprons and tea towels. Knives of various quality and sharpness are in the kitchen but if you are particular, you may wish to bring your own.

Power Outages

In the event of a power outage please note the following

  1. If power outage occurs before rental session, the session will be re-scheduled
  2. If power outage occurs during rental session, renter has the choice to re-schedule or be prepared to wait at least 30 minutes for the generator to start supplying power so they can resume their session.

User

Anyone who signs a rental agreement is considered a User. A User may identify an Organization on the Rental Agreement and both will be held jointly responsible for payment and cleaning of the kitchen. Under no circumstance will someone sign for another person or group. Permission of use is not transferrable.

User Prerequisite

All users of the kitchen will have completed the following activities before user may enter and use the facility:

  1. Completed Rental Agreement
  2. Orientation. First time users will attend an orientation with a Kitchen Steward to familiarize themselves with our kitchen and our policies.
  3. Rental fee payment

Walk-in Cooler Policy

The walk-in cooler can be booked at an additional cost of $20 per booking, including the day before your event and the day after. This is primarily to cover increased Hydro costs. Should you need the cooler, please advise the stewards in advance to ensure that it is turned on.

Cleaning Policy

Cleaning the kitchen is part of the overall rental time booked*.

  1. Cleaning must be finished by the end of the rental period.
  2. Kitchen stewards are responsible for post-use check up. If the kitchen has not been cleaned to expectation, or if items are missing or damaged, the user will be responsible for additional costs, as needed.

*For large events, such as Farm to Table or Spirit Feast, a $100 cleaning fee will be automatically added to the rental fee to pay for 4 hours of cleaning after the event.

The Kitchen Checklist is included with this Rental Agreement.

Cancellation Policy

Cancellations can be submitted up to 24 hours in advance of booked time. A cancellation penalty of $5.00 per each hour booked will be charged if cancellation notice is not received.

Housekeeping Policies

Kitchen users will adhere to kitchen policies and are responsible for leaving the kitchen in a similar / as clean as / cleaner condition than they found it.

  1. Equipment belonging to the Commons Kitchen is to remain on the premises.
  2. Users will follow the cleaning guidelines provided by the Kitchen Stewards before, during and after each use of the facility.
  3. Users must perform and fill in the “Cleaning Check List” after each kitchen use, and leave them in the designated area
  4. Cleaning time is included in the overall rental time

Health and Safety Responsibilities

To ensure the safety of all persons associated with the Kitchen facility, users shall also comply with the following Health and Safety Responsibilities.

  1. Worker Safety. User is exclusively responsible to ensure that User and its employees observe proper safety procedures while using the kitchen. No children under 12 are allowed in the kitchen without supervision when any food processing is taking place.
  2. Cutting boards are colour coded. Please use them for their intended use to avoid cross-contamination.
  3. Right of Inspection. The Vancouver Regional Health Authority shall have the right to inspect without prior notice at any time deemed necessary.
  4. As required by VIHA, users are responsible for submitting Food Safety plans for the products being prepared to VIHA for authorization. Please note that VIHA requires at least 14 days notice in advance of kitchen use. Contact Jill Lucko at jill.lucko@viha.ca
  5. Users are covered by Commons Liability Insurance.
  6. Product liability insurance is the responsibility of the user.
  7. The kitchen capacity is 13 people as set by the Gabriola Fire Department.

Deep Cleaning Workbees

Deep cleaning of equipment is not part of the regular cleaning checklist. Deep cleaning must be done every 2-3 months, and is organized by the Kitchen Stewards. As someone who is using the kitchen, you will be invited to participate in this deep cleaning, however participation is on a voluntary basis. We expect the deep cleaning to take two or three hours and appreciate participation from those who use the kitchen.
